Privacy Policy

Last updated: October 8, 2026

Sproxia Technologies Inc. (“Sproxia”, “we”) respects the privacy of your personal information. This policy explains what information we collect on sproxia.com, in particular in the Advisory & Mentoring journey, why, who can access it, how it is protected and what your rights are.

1. Information we collect

  • Contact details: first name, last name, email address and, if you provide it, phone number.
  • Country and time zone: to show times in your local time and organise remote meetings.
  • Answers to the preparatory questionnaire (situation, goals, questions) specific to the chosen offer.
  • Documents you choose to send (for example a résumé or a project plan), up to 3 files of 10 MB each.
  • Appointment information: offer, date, time, status, file reference.
  • Limited payment information: amount, currency, status and technical transaction identifiers provided by Stripe. We never receive or store your card number or its security code.
  • For Mentoring: goals, action plan, progress and review written during the programme.

2. Why we use it

  • Process your request, book and confirm your appointment.
  • Prepare the meeting using your answers and documents.
  • Collect payment for a fixed-price offer, or send you a proposal for an on-request offer.
  • Write to you about your appointment (confirmation, change, reminder, follow-up).
  • Run the Mentoring follow-up and keep your private space up to date.
  • Meet our legal obligations, including accounting and tax obligations.

We do not sell your information and do not use it for targeted advertising.

3. Who can access it

  • Your file (questionnaire, documents, preparation notes) can only be viewed by authorised Sproxia staff providing your service, through a secure administration area. Sensitive access is logged.
  • Sproxia’s internal notes are not shown in your space; you may request access to them (see “Your rights”).
  • Your follow-up space is reached through a private link specific to your file. Do not share it; Sproxia can replace it on request.

4. How we protect it

  • Encrypted connections (HTTPS).
  • Documents are stored privately and never published. Each viewing uses a temporary link valid for a few minutes, reserved for administration.
  • Administrator access is restricted and checked on the server; prices and amounts are set by the server, never by the browser.
  • No password is needed to book; access to your file relies on long, random, unguessable keys.

No measure offers absolute security; we will notify you if an incident involving your information presents a risk of serious injury, as required by law.

5. Technical providers

  • Base44: hosting of the website, database, private files and email delivery.
  • Stripe: payment processing. You enter your card details directly with Stripe, which processes them under its own privacy policy.
  • Planivo (a scheduling tool operated by Sproxia Technologies): calendar and time-slot management.

These providers may store or process information outside Québec and Canada, including in the United States. They only access it as needed to provide their service.

6. Communications

  • We only write to you about your request, your appointment or your mentoring (acknowledgement, confirmation, change, cancellation, reminder, review).
  • These emails never contain your questionnaire answers, your documents or our internal notes.
  • No newsletter or marketing message is sent to you without your separate consent.

7. Retention

  • File and documents: kept for the duration of the service. Our target period is 90 days after the meeting (180 days after the end of the programme for Mentoring), unless you ask for earlier removal.
  • Request started but not sent: removed after about 24 hours.
  • Billing and payment information: kept as long as required by applicable tax and accounting laws.

Document removal: when we remove a document, we delete its link to your file and disable all access to it from our tools. Depending on how our hosting provider operates, a technical copy of the file may remain in its storage systems; it is no longer accessible from your file or from our administration.

8. Your rights

  • Access the information we hold about you and obtain a copy.
  • Have inaccurate or incomplete information corrected.
  • Withdraw your consent or ask for your file and documents to be removed, subject to our legal retention obligations.
  • File a complaint with the Commission d’accès à l’information du Québec if you believe your rights have not been respected.

To exercise these rights, write to us with your file reference (SCM-…). We reply within 30 days.
